Who is BOGDAN & VAN BROECK?
Our architecture practice was founded by Oana Bogdan and Leo Van Broeck and is supported by a dynamic and committed team of 17 collaborators. At BOGDAN & VAN BROECK, we see architecture and urban planning as a co-creation act involving society, politics and economy. Each project is designed within and for its specific spatial and social context. The integral aspect of our projects is their location: we design and build only within cities or towns because we strongly believe the future of our society is urban. Oana Bogdan and Leo Van Broeck continuously share our vision in public debates and both are actively engaged in politics. In Romania, Oana was Secretary of State at the Ministry of Culture and is now part of the platform ‘Romania 100’. In Belgium, Leo has set a clear agenda as the Vlaams Bouwmeester. With our international team we critically reflect on and enrich our vision, continuously learning from its implementation into reality.

Job Description

Our high ambitions in architecture rely on a good organisation and administration of our practice. While we already have a clear structure in place, we always refine and improve our ways of working together. As Administrative Assistant you will therefore do both: You play a central role in the day-to-day organisation of our office and simultaneously suggest and implement change where necessary. You will support the team in three main domains including the following tasks:

1 Office Management & Organisation: 
  • Coordination of office maintenance & office supplies
  • Handling of daily mail and e-mails
  • Agenda & contacts management
  • First contact for visitors and incoming phone calls
  • Supporting the team on a variety of smaller tasks
2 HR:
  • Planning and organising team events
  • First contact for applicants and new collaborators
3 General management assistance:
  • assistance in accountancy & invoicing
  • assistance in project administration

 Your Profile

We are looking for highly motivated and enthusiastic candidates that:

  • … are fluent in Dutch, French and English, both verbally and in writing.
  • … have experience in organisation and administration.
  • … are motivated to learn.
  • … are proactive and able to work independently.
  • … are able to approach multi-layered tasks in a structured way and to synthesise them into work processes.
  • … know basic office software packages like Microsoft Office/Open Office.
  • (knowledge of InDesign and Photoshop are an added value)
